Extended day

The recording of attendance and income received for activities outside of school lessons.



Pre-payment account
(e.g. a club)

Pre-payment accounts are configured within Extended day to record attendance/income.  A pre-payment account must be set up for each Extended day club (i.e. activity where a register is required and attendance/payments are recorded).

Each pre-payment account has a separate input screen and its own sessions, session codes and session dates.

There is no practical limit to the number of pre-payment accounts that can be set up. 

Examples might be a Breakfast club, After school clubs and Holiday clubs.

Cost centre

Each Bank account in SCO is divided into cost centres. Income collected for an Extended day pre-payment account must be allocated to a specified cost centre.

One or more pre-payment accounts can be linked into the same cost centre.  However, a pre-payment account cannot be linked to more than one cost centre.

Session
(max 5 per pre-payment account)

A period of time within each day that the Extended day club is open and for which attendance is registered.

Each pre-payment account must have at least one session.

A place limit can be set for each session.

Up to 5 sessions can be set up per pre-payment account.  Examples might be a Breakfast club with one session only; After school club with three sessions (time slots); or Holiday club with two sessions e.g. morning/ afternoon).

Session code

The session, and subsequently the session cost, is recorded using a session code.  Session codes are made up of a single letter or character. 

Examples might be where a club has discounts for siblings (e.g. D code) or advance booking (e.g. A code), or charges for non-cancellation, etc. 

Session dates

The dates when the club is open for pupils to attend.

Term dates can be set, where appropriate.

Day closures

Any individual days that the club is not open to pupils.

Examples might be Bank holidays and INSET days.

Cohort

Selected pupils linked together in a group, or cohort outside of the normal class structure.  The set of pupils in the cohort is then assigned to the club, as opposed to all pupils in the school in the normal class structure.

There is no practical limit to the number of cohorts that can be configured.  Pupils can be linked to more than one cohort, e.g. both Breakfast club and an After school club cohorts.

Preferences

If a pupil attends the same sessions each week on an ongoing basis, this information can be configured to populate the attendance register automatically.

Pupil preferences can be set for each pre-payment account as appropriate.
