Useful Information

The mail merge function enables labels, blank payment cards, letters and invoices to be generated for individual pupils, all pupils on a trip, or pupils on a trip with an outstanding debt.
The documents are generated in Microsoft Word, where they can be printed and/or saved.
Schools using the SCO Communications module can also choose to send trip correspondence to parents by email or text message.

Trips Generate Mail Merge

 

Did you know that you can compose your own letter, email* or text* to pupils on a trip by using the Create a message option? See below for further details.

 

To generate mail merge documents or compose an email* or text* to all pupils on a trip:

  1. Either:

    1. Click on the Reports tab and select Trip reports or

    2. Click on the Trips and Events tab and select the Reports button on the bottom right

  2. Select Generate mail merge

  3. Click the down arrow below Select trip and select the required trip

  4. Select the recipients:

    1. All pupils with debt for this trip:
      Select the Only pupils with trip debt? box

    2. All pupils on the trip (regardless of payment status)
      Leave the box unticked to generate the document for all trip attendees

    3. An individual pupil
      Click the down arrow below Select recipient and select an individual pupil. 

  5. If required, select the Filters button to filter for:

    1. Minimum debt amount (the default is 0.01, i.e. 1p)

    2. Maximum debt amount in pence

    3. Minimum age of debt (the default 0 will display all debts)

    4. Select OK

  6. Under Choose the template select the template you wish to use

  7. For schools using the SCO Communications module:

    1. Use <Create a message> to compose your own email or text to the selected recipients.

    2.  select Email and/or Text if required

  8. Select Generate

Note: if both Email and Text messages are created, the recipient will receive either an email or a text message (not both) depending on the default import setting specified.
If unchanged during setup, the default import setting is that the message will be sent by Text to all contacts with a mobile telephone number in SCO. An email will only be sent to contacts without mobile telephone numbers in SCO.  
If you prefer Email to be the default option, you can check and change the priority of these settings through Communication configuration settings (see section On import default to).
