There are 3 options for adding Staff to SCO

This section describes how to add Staff to the system to enable them to purchase items and to record income or expenditure against them.

  1. Users licensed for the Dynamic Link to SIMS.Net or the Wonde link can use the Staff import option

  2. Prepare a csv file from your pupil Management Information System (e.g. SIMS, Progresso, CMIS, Scholarpack, Bromcom, Arbor, PupilAsset, Integris G2) and import the data
    See sections 1 and 2 below

  3. Enter staff details manually
    See section 3 below

 

It is important that Staff IDs are different to Pupil IDs.  For example, if a Pupil ID = 00001 and a Staff ID = 00001 this will cause data discrepancies.

To add Staff (including teachers, administrators, classroom assistants, kitchen staff, visitors)

For a new installation of SCO without the Dynamic Link to SIMS.Net or Wonde link, review sections 2 and 3 below (section 2 would be the recommended option)

 


1. First check whether any existing staff have IDs in SCO

  1. Click on the Configuration tab

  2. Click on Account configuration

  3. Click on Staff

  4. Click on the staff member

  5. Check the ID in the Staff ID field

If there are IDs, refer to Section 2 to import the new staff with IDs using a csv file.

If there are no IDs for staff, refer to Section 3 to add the staff manually without IDs.




2. Import new staff using a csv file

  1. Prepare a csv file from your MIS containing the following 4 data field headings

The headings must match those below exactly. The AddressLine field can be blank, but the heading must be included:

Surname

Forename

AddressLine

StaffID

Brown

John

2. Save the file in csv format and close the file

Important: If you have existing staff without IDs in SCO, and you continue to import with IDs, staff will be duplicated - if you haven't done so already, refer to Section 1 above to check this

Import the csv file into SCO

  1. Click on Configuration

  2. Click on Import from external system

  3. Click on Staff import

  4. Select the saved csv file

  5. Check that only new staff appear with [New] after their names in the centre screen

  6. Confirm the import




3. Add staff details manually

  1. Click on the Configuration tab

  2. Click on Account configuration

  3. Click on Staff

  4. Click on Add new staff

  5. Enter the Last name and First name

  6. The Address field is optional

  7. Enter the ID in the Staff ID field if available, otherwise leave blank

  8. Repeat for any other staff

  9. Click on Done



It is important that Staff IDs are different to Pupil IDs.  For example, if a Pupil ID = 00001 and a Staff ID = 00001 this will cause data discrepancies.
