How to create a Test Video Call for Parents' Evening

In order to test a Parents' Evening video call meeting, you will need one staff member to log in to SCOPAY as the ‘parent’ on one PC, and then another staff member to log in to the SCO Admin Site http://www.scopay.com/UserWebapp as the ‘teacher’ on another PC.

Before setting up the test meeting, please check you have completed the Video Call pre-requisites here.

1. Create the 'dummy pupil' account

Before you can test the video call function in Parents' Evening, you will need a dummy pupil account.

You will need to add this pupil to a class - if you do not want to add them to one of your pre-existing classes, you will need to add another class to use for this test by going to the Configuration tab in SCO > Account configuration > Classes > Add new class.

 

  1. Click on the Configuration tab in SCO

  2. Select Account configuration

  3. Select Pupils

  4. Select Add new pupil

  5. Enter the name of the dummy pupil (such as Test, Pupil)

  6. Pupils must have an address to be saved so select Edit address and enter ‘Test’ in Address Line 1

  7. Select the pupils class from the drop down list

  8. Click Done


2. Create the 'parent' SCOPAY account

  1. Follow the steps here to generate an Online Access Letter so the staff member who will be the ‘parent’ can link to the dummy pupil

  2. The staff member will need to follow the steps on the letter to create a new SCOPAY account

Please note: The staff member acting as the ‘parent’ will need to set up a SCOPAY account will a different email to the one they use to access SCO


3. Set up the ‘teacher’ account

  1. If the teacher does not yet have a SCO user account, please follow the steps here

  2. If the teacher does have a SCO user account, please ensure they have the correct permissions detailed here


4. Create the test meeting

  1. Log in to the SCO Admin site http://www.scopay.com/UserWebapp

  2. Select the Parents' Evening tab

  3. Select Meetings and times

  4. Select Add a meeting

  5. Enter the Meeting name (such as Test Video Call) and select Add

  6. Click Select teachers

  7. Tick the Eligible box of the teacher you set up in Step 3 and click Done

  8. Amend the Time slot length - ensure you give yourself enough time to test the video is working correctly

  9. Select Add date and enter the date and times you will be completing the test

  10. Select Video call

  11. Select Save and click Done


5. Add the ‘dummy pupil’ to the test meeting

  1. Select Teacher configuration

  2. Select the Test meeting and teacher from the drop down menus

  3. From the Class/cohort menu, select Any cohort

  4. Select Invite pupils to this teacher’s meeting

  5. Use the Last name or Class tab to find the dummy pupil’s name and tick the box next to their name

  6. Click Select accounts

  7. Click on the --Free-- slot of when you want to complete the test and use the drop down arrow to select your dummy pupil

  8. Select the Edit parent details icon and select Online User - choose the staff member you set up as ‘parent’ earlier

  9. Select Save, select OK


6. Ask the ‘parent’ and ‘teacher’ to log in

The ‘parent’ staff member should now be able to log in to their SCOPAY and select Parents' Evening - they will be able to view and join the booked meeting here.

The ‘teacher’ staff member will be able to log in to SCO Admin Site and select Parents' Evening - they will see the Go to video call button once there is less than 2 hours till the meeting start time.

Once both parent and teacher have joined the meeting, there will be a countdown until the start of the meeting and you can test your video call.
