Important Information
The templates used in SCO should be stored in a shared folder, usually on a network drive in your school.
To view these same templates on each PC using SCO, carry out the following (step B must be repeated on each PC):
To Manage Templates
A. Locate the shared folder on your network drive
- Open a My Computer or Windows Explorer window
- Browse or search for the shared folder (this might be named SCO, Tucasi templates, or another name assigned by your school)
- Do not use the folder on the C Drive (C:\sco) unless you are the only person generating letters, emails or texts - this is not a shared folder
- Make a note of the shared folder name and path (this might be something like H:\Admin\Tucasi Templates
- If a template folder does not exist, then create one at this point and copy the contents of the C:\sco\DefaultDataFiles folder into it
If you are unable to locate templates, you may need to seek assistance from your IT support.
B. Point to the shared folder from SCO (repeat this on each PC using SCO)
- Click on the Configuration tab
- Click on Template manager
- Click on Template location
- Click on the Folder noted above
- Click on OK
- Close the Template manager window
C. To amend the templates
- Click on the Configuration tab
- Click on Template manager
- Select the category on the left hand side
- Select the template
- Click on Edit letter template, or Edit email template, or Edit text message template, as appropriate
- Make the required changes to the template
- Save and Close
D. To save different versions of the same template
Following section C above, at stage 6, select Save as and change the name of the template. Please note the following:
- For templates relating to Pupils, keep the same filename and append something to the end
e.g. debttriptemplate change to debttriptemplatedaytrip - For templates relating to Staff, all templates should be saved with the prefix onlineAccountAccessLetter and the word Staff at the end.
Either save over the master document or add to the filename to create your own version, e.g. onlineAccountAccessLetterVersion2Staff - For templates relating to Hirers, all templates should be saved with the prefix onlineAccountAccessLetter and the word Hirer at the end, e.g. onlineAccountAccessLetterHirer.
Either save over the master document or add to the filename to create your own version, e.g. onlineAccountAccessLetterVersion2Hirer
