Parents' Evening Meetings are set up via the SCOPay Admin site. |
To create a New Parents' Evening Meeting
If it is helpful to print this page for reference, the best option is to export to MS Word - follow these instructions. Otherwise, proceed to step 1 below:
- Select the three dots (More actions) icon at the top right of this page
- Select Export,
- Select Export to Word
- The document will then either open in Word, or it will download to the bottom left of your screen (click to open it)
- Select Enable editing if prompted
- Print in the usual way
To create a New Parents' Evening Meeting
1. Add a Meeting
- Login into the SCOPay Admin Site www.scopay.com/UserWebapp with your SCO email address and password
- Click on the Parents’ evening tab
- Click on Meetings and times
- Select Add a meeting
- Enter the Meeting name then click Add
2. Attachments (optional)
- If you have any Attachments you wish to display online for parents (such as school map, classroom plan, Ofsted Report):
- Click on Attachments
- Click on Add
- Enter a Name of the attachment
- Click on Browse and Upload the file
- Click on Add
- Click OK
3. Invite Classes and Teachers
- Click Select teachers
- Tick Invite class to invite teacher's and their linked class
- Select Eligible only (not Invite class) where:
- Staff don't have their own class (this might apply to a SENCO)
- Teachers who wish to invite additional pupils outside of their own class (eg a SENCO or a specialist subject)
you will be able to select the required class/pupils in the next section Configure Meeting Bookings
- Ignore Global breaks for the time-being. These can be set at step 5 below
4. Set up Meeting Dates and Online Availability
- Select On premises or Video call
Note that you will only be able to select Video call if you are licensed for this module - Tick Available for online bookings
- Specify a 'go live' date if you wish to delay the meeting appearing online for parents
- Set an Online user cut off date and time (parents will no longer be able to book the meeting after this date/time)
- If Teachers will manage their own reports, tick Allow parents to set notes for the teacher? and/or Allow teachers to set notes for the parent?
- Select Time slot length (minutes) for the meeting
- Click Add date
- Select Date, From and To
If parents’ evenings span two or more days then additional dates can be added simply by adding more dates, using the Add date button - Click Save and OK when finished
5. Global Breaks
Note that you cannot add Global breaks until you have created and saved your meeting
A Global break is a break that is applied to all Teachers at the same time
To set individual breaks for Teachers you can do this at section Add a Teacher's Parent Meeting Break
- Under Meetings and times
- Select the meeting
- Click on Global breaks to set any breaks that apply to ALL teachers (you can set individual teacher's breaks later)
Click on --Free-- and change to --Break-- where applicable - Click on Done, click on Save, OK, click on Done
- Once you have set a Global break for a meeting, this is treated as a booking and prevents the meeting from being deleted
