Import Photos in PSPA format (usually provided by a school photographer)

Useful Information

Your school photographer will provide you with a disk which will include all portrait photos. 
The disk must be formatted as per the Professional School Photographers of America (PSPA) guidelines in order for it to work with Schools Cash Office.
If you are not sure if the disk is formatted properly you can open the disk and view the files.

These files must be on your disk: 

  • Images folder      (this folder will contain the photographs of your students) 

  • INDEX.txt file      (this file will sort the image files so that they flow to the correct location on your portrait pages)

  • README.txt file  (this file lists the relevant fields and pupils’ details - see example below)

Import Photos in PSPA format

Note that photos will be displayed in the Classroom edition once configured as below.  They will not show anywhere else in the system.

Import the data

  1. Click on the Configuration tab

  2. Click on Import from external system

  3. Click on Import configuration

  4. Click on Photo import

  5. Select the README.txt file prepared above

  6. Click on Open

  7. Click on Close




Set Photos to display in the Classroom or Dining Hall

To display the photos in the classroom, follow the guide here: Optional Settings for Classroom Edition
This setting needs to be configured for each user once logged in to the Classroom edition.


The photos will show on the Income tab when a pupil is selected and in the Classroom Edition.

If the above fails at any stage, the information below gives more detail on what is required for the import:

README.txt

You will need a file named README.txt that lists all the information in each column as detailed on the README file below:

The Fields are determined as follows:

Volume Name

 This should be standard for all rows of the data if all the files are on a single disk

Image Folder

 Photo

Filename

 Name of the file associated to this user

Grade

 Year group of the student (Year R must be entered as 0) **

LNAME

 Last Name of the user **

FNAME

 First Name of the user **

Room

 Tutor Group **

Period

 Can be any number

Teacher

 Surname of the teacher that teachers the tutor group **

Track

 Always A

Department

 Student or Staff

** These fields must match the data in Schools Cash Office, e.g. First Names must be identical in the case of Jo or Joseph, Chris or Christopher.

INDEX.txt

You will also need an INDEX.txt file which lists the relevant fields and pupils’ details in the following format:



Save the README.txt and INDEX.txt files in the Photo folder e.g.
