Useful information

Credit notes should be raised if you need to reverse an invoice, or part of an invoice, that has a Confirmed status.
Raise credit notes using either the View invoice task or Issue credit note task

To Credit a Specific Invoice

  1. Click on the Lettings tab
  2. Click on Accounts
  3. Select the relevant Invoice
  4. Click on View invoice
  5. Click on Issue credit note 
  6. Enter a Reference, if required
  7. Click Remove to delete lines you do not wish to credit
  8. You will see a warning message The line highlighted in red will be removed, are you sure?
  9. Click OK to proceed
  10. Repeat for other lines, as required until only the amount to credit is displayed
  11. Click Save, Yes
  12. Would you like to use a receipt to allocate this credit to an invoice? select Yes
  13. All outstanding invoices will be listed, as well as the Credit note
  14. Select Auto-allocate to automatically allocate the Credit note to the first and subsequent invoices or
    Enter the positive amount of the Credit note in the Allocated column against the relevant Invoice(s) and
    enter a negative amount of the Credit note in the Allocated column against the Credit note line
  15. Click Save, Yes
  16. In the Accounts screen, select All Items, Find now - the Credit note and original Invoice will be displayed
  17. Don't forget to Cancel the booking, if required

To Create an Ad-hoc Credit Note

The Issue Credit Note task route should be used if you wish to raise a credit note for an item or amount that does not form a full part of a specific invoice
e.g. having raised an invoice for £50 you wish to issue a £20 credit note for a session cut short due to a power cut.

  1. Click on the Lettings tab
  2. Click on Accounts
  3. Click on Issue credit note
  4. Select the Hirer you are issuing the credit note to
  5. Enter an appropriate description, cost centre and gross figure, along with account codes if required. If appropriate use the Add option to add further lines to the credit note.
  6. Click Save.
  7. You will be prompted to use a receipt to allocate the credit to an invoice.
  8. Click Yes to allocate a credit note to an existing invoice or click No to allocate the value of the credit note on account.   If amounts are allocated on account, you will be prompted to use them against future invoices when next generating invoices.
  9. To allocate a credit note to an existing invoice, record a receipt of £0.00. This will allow you to offset the value of the credit note against the corresponding invoice(s) of your choice.
  10. Complete the receipt line as follows:
    • Allocate the value of the credit note against the Invoice line of the receipt as a positive amount eg £20
    • Alternatively split the total across a number of invoice ensuring that the total for each is entered as a positive amount.
    • Allocate the value of the credit note against the Credit note line of the receipt as a negative amount ie -£20
    • Check that the Unallocated total is £0

Note: If the Unallocated total isn’t 0.00 check that you have entered the correct values in the steps above using a minus sign against the credit note value and no sign against the value allocated to the invoice line.



How do I allocate a Credit Note to an Invoice?

To allocate a credit note to an invoice use Record receipt on the lettings Accounts page to record a receipt of £0.00. This will allow you to offset the value of the credit note against the corresponding invoice(s), as follows:

  • Click on the Lettings tab
  • Click on Accounts
  • Click on Record receipt
  • In the Allocated column on the row showing the credit note, enter in the value of the credit note as a negative amount (e.g. if the credit note is for £50 enter -50.00 in the allocated column).
  • In the Allocated column on the row showing the invoice enter the value of the credit note with no sign (e.g. if the credit note is for £50.00 enter 50.00 in the allocated column).
  • Check the Unallocated value is 0.00 and if it is click Save to confirm the allocation. If this value isn't 0.00 check that you have entered the same value in the steps above with the correct sign.
