Useful Information

Generate mail merge enables you to produce letters and statements for individual pupils and staff with debts and credits. The documents are generated in Microsoft Word, where they can be printed and/or saved.
Schools using the SCO Communications module can also choose to send correspondence to parents by email or text message.


Pupil Accounts Generate Mail Merge

To generate generate mail merge documents documents:

  1. Click on the Reports tab

  2. Select Account reports 

Select 
  1. Select Generate mail merge

  2. Select from the following options:

    1. Cafeteria account, General pre-payment account, All balances

    2. Accounts in credit?(to generate a letter to all pupils with a current credit balance)

    3. Click the down arrow

    1. below Select recipient

    1.  and select a pupil. (If there are no pupils with debt, the drop down box

displays 
    1. displays <No pupils with debt>.)

    2. If required, click

the 
    1. the Filters

 button
    1.  button to filter for:

      1. Minimum debt amount (the default is 0.01, i.e. 1p)

      2. Maximum debt amount

      2. Exclude pupils whose family account is in credit?

Click 
      1. Click OK

    1. Attach statement report (to generate a copy of the Individual balance report)

  1. Select the debtalltemplate (or another template you have created)
