Tip

Sales can be made either in school or online via SCOPAY.
Online orders and orders taken in school that are marked as not yet delivered will be listed as Open orders on the View orders screen.

Use the Orders button in the process below, instead of the Sales button, if all of the sales you are entering are for stock products being distributed at a later date.
The Are you delivering the stock products immediately? question will not be displayed, therefore saving a step. 
If you have a mixture of sales (delivered immediately or delivered later) we recommend using the Sales button.

Recording the Sale of a Stock Product in School

  1. Click on the Income tab
  2. Select the blue Sales button
  3. Select the relevant product group then select the product to sell e.g. Cardigan 24”
  4. Select the Pupil's name when prompted
  5. Click OK
  6. Select any additional items if required (these will then be listed in the top half of the Income screen)
  7. Select Total
  8. You will see a message asking Are you delivering the stock products immediately?
  9. Select Yes or No
    1. If Yes, an Order will be opened and completed straight away, no further action is required
    2. If No, an Open Order will be created
  10. Select the method of payment (Cash, Cheque, Credit/debit for BACS or On account to deduct the funds from the pupil's SCO pre-payment account)
  11. If you have selected Cheque or Credit/debit as the payment method, the Details window is displayed with the pupil’s surname in the Enter details/reference box
    Add any extra details here - for example, the name on the cheque, if different from the pupil's name, and/or the cheque number
  12. Click Done
  13. If you have selected the option to be prompted to print receipts, you will see this message now. 
    Select Yes or No as required.
  14. If a product is not in stock, a message will be displayed warning that the item is currently out of stock and the system will automatically create an Order.

Whilst a transaction containing stock controlled items is taking place, the items will be considered as Reserved items and cannot be resold.
Once an order has been confirmed, the items will remain Reserved until the order is collected and marked as Completed in school.
